The following Privacy Policy sets out how Eales Shutters Ltd uses / stores / protects any personal information given by you including information that is collected via email addresses and online forms.  We are committed to being fully compliant with the GDPR (General Data Protection Regulation) guidelines and therefore ensuring that your information is secure.  Any information provided by you will only ever be used in accordance with this Privacy Policy.

Your information will not be shared or sold by us to third parties unless we are legally required to.  We may send you promotional information regarding our services and products from time to time, in which case we would use your information to do this. We would only do this if you were interested in this particular information and if you are happy for us to do so.  This Privacy Policy is effective from 25th May 2018 in line with the GDPR and any further changes to the Policy will be updated on this page.

Information we collect

Your personal information may be collected by us via online forms on the company website and through phone calls to our staff.  When filling out any online forms on the website, please look for the relevant disclaimer link explaining what information is collected and what is done with the information collected.

We have several points during our service where we collect data which are listed below. Also listed is what information we gather from each point and how that information is then stored and kept secure.

Information collected through these forms:

This information is collected to allow us to contact you regarding your enquiry.  The submissions from this form are sent and stored on our info@ealesshutters.co.uk email which can only be accessed by authorised Eales Shutters Ltd office staff.

Microsoft Outlook Mailboxes & Calendars

Information obtained from the above Pages may be stored on Eales Shutters Ltd Microsoft Outlook Mailboxes & Calendars. All enquiries made through these forms and website emails will have a copy sent to an authorised Eales Shutters Ltd staff member’s mailbox. This is to ensure that the enquiry is dealt with swiftly and properly. This information may be placed on an Outlook Calendar event if a Measure Survey time is agreed so that the survey can be carried out accurately.

Measure Appointments / Site Surveys

Information may be collected on site at a survey so that we can further provide you with a quote should you wish to receive one.  Information collected will include:

  • Full name
  • Work and/or private email address
  • Work and/or private contact number
  • Company/private property site address
  • Shutter/gate etc. specifications

Quotes / Indication of Costs

Information collected at this point:

Quotes will be sent to you and also stored in an Outlook Mailbox that is only accessible by authorised Eales Shutters Ltd office staff.  A printed version of the quote will also be stored in a secure location within our Eales Shutters Ltd office and can only be accessed by authorised office staff.

Confirmation of Order

For Eales Shutters Ltd to enter a contract with you, we would need to obtain a deposit in the form of a cheque, bacs or debit/credit card payment.  This payment would be taken over the telephone or in person in the office, using the payment server Worldpay.  Worldpay has its own Privacy Policy & Statement which is accessible on their website https://www.worldpay.com/uk.  Eales Shutters Ltd suggests that you read Worldpay’s Privacy Statement at https://www.worldpay.com/uk/worldpay-privacy-notice before completing the payment transaction to ensure you are comfortable using this payment method.

To complete transactions on Worldpay, we would need to collect your bank details and payment information.  Once we have collected this sensitive information, it will be stored in a secure server within the Eales Shutters Ltd office and can only be accessed by authorised office staff.

Paperwork on Fitting / Install Appointment

At the installation appointment, our fitters may bring the correct and relevant paperwork with them to ensure that the job is fitted as expected.  At this appointment, they are required to obtain your signature and comments on the paperwork concerning the work carried out and whether it was satisfactory.

Invoicing

Through the data collection points listed, we may use the information collected to create invoices.  This is to be compliant with HMRC Regulations for a limited company in the UK.  Once you have confirmed an order and you make payment, we are required by HMRC to store the relevant information for a minimum of 6 years.

This information will be stored on Quickbooks Online and Eales Shutters Ltd’s secure office server which are only accessible by authorised office staff.  A printed version of this information will also be stored in a secure location within our Eales Shutters Ltd office and can only be accessed by authorised office staff.

Warranty

Through the data collection points listed, we may store the information given so that we can assist you in the future regarding warranties.  We offer a 1 year warranty for our new products therefore we need to keep the relevant information for a minimum of 1 year.

 

What we do with your information

We collect data from you to provide an efficient service and for other reasons such as:

  • Secure and internal record keeping for the purposes of warranties and HMRC Regulations
  • Improving our service, products and quality control
  • If you have previously agreed with us to be sent promotional items, your provided email will be included on our electronic mailing list
  • We may contact you by the provided contact information for market research.  This feedback could be used to update our website

If you decide not to proceed after having a Site Survey and a quote is sent to you, the relevant information you have provided will be kept for a maximum of 12 months.  This is for future communication purposes if necessary and after 12 months this information will be deleted unless you have stated otherwise.

If there is no business contract entered or transaction made at all following initial contact, then all of your information will be deleted completely.

Controlling your personal information

You can control the way your information is used or collected by us at any time.  You can do this by:
